REQUIREMENTS:

  • A Senior Certificate/Grade 12.

Knowledge:

  • Office administration,
  • Rea patala,
  • Public Finance Management Act (PFMA),
  • Treasury Regulations,
  • Financial management and administration,
  • State budgetary systems,
  • Financial systems,
  • Archibus and Logis.

Skills:

  • Numeracy, accounting, organising, interpersonal skills, diplomacy, ability to follow a pro-active and creative problem, solving approach, communication, computer literacy.

Personal Attributes:

  • Ability to work under stressful situations, hardworking, and team player.

DUTIES:

  • Address enquiries or refer them to the necessary manager.
  • Follow up on outstanding complaints and queries, ensure resolutions of meetings are addressed within established timeframes and administer the Archibus System.
  • Update and maintain electronic and physical records for procurement instructions.
  • Furnish information for reports to internal and external stakeholders.
  • Record, organise, store, capture, update and retrieve correspondence and data.
  • Make photocopies and receive or send facsimiles, distribute documents/packages to various stakeholders as required, keep and maintain the filing system for the component.
  • Obtain quotations, complete procurement forms for the purchasing of standard office items.
  • Stock control of office stationery.
  • Keep and maintain the asset register of the component.
  • Assist with ordering of material and equipment from suppliers.
  • Capture and update expenditure in component.
  • Check correctness of subsistence and travel claims of officials and submit to manager for approval.
  • Handle telephone accounts and petty cash for the component.
  • Arrange travelling and accommodation.
  • Distribute personnel pay slips and ensure that a payroll certificate has been signed and submitted to HR.
  • Maintain a leave register for the component.
  • Plan the diary for the sub-directorate.
  • Book a meeting venue, arrange meetings and confirm attendance with stakeholders.
  • Take minutes and distribute to meeting attendees.
  • Assist with procurement of a service provider for catering where required.
